Select unique reference data from Excel

This article explains how to use the Select From Excel feature to find and display records in Access Charity CRM using data from an Excel spreadsheet.

If you have a Microsoft Excel spreadsheet containing the unique reference from a form (like the serial number of contacts, group ID for group records or email addresses) you can highlight the unique reference you wish to see in the form, log the details into Access Charity CRM and then use the Select From Excel option to display the records.

This option appears on all forms under the Search option on the toolbar.

For example, if you receive bounced emails from a mailing house you could select all the email addresses from the spreadsheet and use the Select From Excel option to find those contacts in the system.

📌 Note: In order to use this option you must have the correct Microsoft Office Addins installed.



To select from Excel:

  1. Highlight the unique reference of the form (Serial Numbers, ID, etc.) in your Excel spreadsheet for records you wish to see.

    • Set columns that will contain values that start with a 0 to be the Text data type in Excel, otherwise these will be removed and won't be searched for correctly.

  2. Go to the Access Charity CRM tab and click Log Selection.

    • If this is the first time you are using this option, you will be required to enter your Access Charity CRM credentials. It is important to enter your correct/updated Access Charity CRM credentials as this can stop the process form completing successfully

  3. Enter a Description for the selection.

  4. In Access Charity CRM, go to the form that you wish to view the data from.

    • This can be Contact, Mailings, Batches etc.

  5. Click the Search button and then Select From Excel.

  6. Pick the Description of the selection from the list displayed and click Select.

  7. Find and choose the Field, then click Select.

📌 Note: The searches created by a select from excel are periodically cleaned down by the maintenance routines in Access Charity CRM. This means that after a couple of weeks the searches will be removed.
