Datafeed Dupe Rules

This article explains how datafeed dupe rules work and how records are matched using up to three sequential criteria checks.

In Access Charity CRM you can add up to 3 Dupe Rules in datafeeds to check for any duplicates. Where possible, we try to suggest using a combination of rules which are unique as possible, to prevent a record being overwritten where not welcome.

These Dupe rules work as an 'Or' rather than an 'And'. The system will firstly check Dupe rule 1 for a match; then proceed to Dupe rule 2 and then Dupe rule 3.

For a Dupe rule to be considered a match, all of the criteria in that field must be exactly the same. For example, in Contacts:

  • Dupe Rule 1: Serial Number

  • Dupe Rule 2: Keyname, Postcode, Email Address

  • Dupe Rule 3: Firstname, Keyname, Email Address

The above Dupe rules would firstly check to see if there's a contact in the system with the same serial number. If there is, this would be a match. If not, Dupe Rule 2 will be looked at.

The system will then look to see if there is a contact with the exact same Keyname, Postcode and Email Address in the system. It will not be considered a match if the Keyname and Postcode are the same, but email address is blank.

Finally, if there's no match, the system will move on to Dupe Rule 3.
