There are two types of data feeds that allow you to import data into the system from an existing file:
One-off data feed: Import a spreadsheet into Access Charity CRM on a one-off basis.
Scheduled data feed: Import spreadsheets into Access Charity CRM from a set location at intervals.
π Note: You can import the following extensions: .csv, .xls or .xlsx. Ensure the column names are unique in the spreadsheet, otherwise, this will break the data feed later on. A basic template for the datafeed type you wish to process can be downloaded from the Guidance section of File Upload.
You can also create templates to use to create new data feeds in the future.
To create a one-off data feed:
Click the Data Tools tab then, File Upload, followed by One-Off, then New
Enter a name then, from the Save As drop-down menu, select One-Off.
Select the Create Template for this Data Feed check box.
Click Browse then select the file to import.
From the Type search option, select the type of data you're importing.
Click Next then select the mappings for the data feed.
Select the relevant dupe rules then click Save.
To check for duplicate records within the file and to validate the feed before you post it, you can use the De-dupe button within the ribbon against the datafeed. Any dedupe rules saved against the feed will be checked, any any duplicate records will be highlighted within the Data tab of the feed.
Create a scheduled data feed
We recommend you use scheduled data feeds if there is data you need to upload overnight, for example, information from a finance system. Before you create the schedule feed, set up the file locations either on the network or on the Web Server if you use an FTP Site.
β
To create a scheduled field, follow the steps above to create a one-off feed however, from the Save As drop-down menu, select Scheduled and add the location details. You can map columns and set default values in the same way.
β
π Note: The file you upload as part of the wizard process only aids the mapping process, and will not upload into the system.
When you save the details, the Scheduled Data Feeds form appears.
Execute the scheduled data feed
From the Scheduled Data Feed form, you can select how often to import data from the file location and manually execute the feed if necessary. The form opens automatically once you complete the wizard.
