If the user is an admin user, they will be able to set up different membership schemes that members can sign up to and for each scheme, create different rate periods and membership bands.
Scheme - This is the type of membership to set up e.g. 'Corporate', 'Individual', 'Family' etc.
Period - Allows the user to control the fees and benefits for a given time (bands and benefits are effective from a set date). Can also apply discounts to rate periods.
Band - Within each scheme, there might be different bands (e.g. 'Gold', 'Silver', 'Bronze') and within each band, assign different benefits and adjust the fees accordingly.
In order to simplify the process, the steps outlined below will show how to set up a membership by using the Quick Add options in the Membership module. However, also set up the schemes, periods and bands from their respective forms.
Setting up membership schemes
Click Membership, then Schemes.
Click Schemes, then the New button.
This will open the Membership Scheme data entry form.
Within the Details collapsible group, enter the scheme information.
This will include the scheme name and the currency that is to be used.
Select the Auto-Renew tick box if the scheme is to renew automatically.
Set up defaults if necessary.
If the membership is going to be uploaded to a website, enter the web details in the Web Control collapsible group and select the Publish to Web tick box.
Click Save or Save and New to add more.
The membership will renew and create a new membership period once the membership is 30 days from expiry (determined by the MembershipAutoRenewDays library definition).
🤓 Tip: The Auto Renew tick box would normally be used for monthly rolling memberships. You should have the membership rates set up for the next year before using the tick box.
Setting up membership periods
Click Membership, then Schemes.
Click Periods, then the New button.
This will open the Membership Scheme Rate Period data entry form.
Click the magnifying glass button to select the scheme.
Enter a name for the rate period and the date that the period will start from.
Select an expiry date if necessary.
Any additional information can be recorded in the Notes field.
Click Save or Save and New if there are more to add.
The information will appear on the Membership Scheme Rate Periods form and also in the Rate Periods sublist for the relevant scheme on the Membership Schemes form. The details will appear on the Membership Schemes form.
Setting up membership bands
The steps below will guide through using the membership bands wizard.
Whenever a Suggested tick box appears against the different sections in the wizard this will mean that the user can indicate that the fees entered are just a suggestion and other users will be allowed to override this whenever the tick box is selected.
Click Membership, Schemes, then Bands.
Click New. This will open the Membership Scheme Bands wizard with the following sections to complete:
Details
Fixed Fees
Criteria Based Fees
Member Types
Benefits
Discounts
Click on the Save button to store the details. The band information will then appear on the Membership Scheme Bands form.
