User licences

This article explains the different types of user licences.

User licences handle the total number of users you're allowed to have within Charity CRM.

Currently there are three types of user licences availble:

  • Concurrent Users

  • Named Users

  • Records-Based

Named User Licences (Most Common)

If you have Named User licences, each licence is assigned to a specific individual. All named users should be able to log in simultaneously without restriction.

If you're unable to log in and believe you should have access as a named user, please contact your account manager as your system may need re-configuring.


Concurrent User Licences (Legacy Model)

If you have Concurrent User licences, the system limits the number of users who can be logged in at the same time. When this limit is reached, new users will be prevented from logging in until existing users log out.

If you're unable to log in due to the concurrent user limit being reached:

  • Existing users need to log out.

  • Users can manually release a licence without fully logging out of Access Workspace by clicking the ? icon at the top right of CRM, then Release licence.

  • If a user has multiple CRM tabs open, they'll need to release the licence on each tab.

  • The system automatically releases licences from inactive users after a period of inactivity.

  • Alternatively, contact your account manager if you need additional licences.

When a new user logs into the system it will run a check against the current users logged in against the licence limit. If the limit has been reached, the user will be prevented from logging in.

If a user forgets to log out, the system will also check the last time their browser updated its heartbeat against the system. If enough time has passed, the user will be marked as inactive and the licence feed up.


Records-Based (Least Common)

If you have a Records-based user licence, there re no limits to the number of user accounts in your system

📌 Note: The technical limit is at 999 users. Instead, the system is charged based on the total number of records within the system.
