Profiles enable the user to record additional information about the contact that cannot be stored on other data tabs, such as hobbies and interests.
The Profiles data tab contains a series of predefined values, which allow for searching and reporting purposes.
Create the profile
To create a profile:
Click Admin, then click the Lookups form and select Lookups.
Using the Quick Search field, search for the profile lookup record.
Select the Details data tab and scroll to the Lookups Value sublist.
Click + to the right of the sublist header to add a new value.
In the Value 1 field, enter the Category to add, e.g. General.
The Value 2 field can be used if the lookup has a Name, e.g. Interest.
The Value 3 field can be used if the lookup has a Value setting, e.g. Art. This means that when The User is setting up a profile against a contact record, then the new Category, Name and Value options will be available for them.
Click Save or Save and New to add another value for the lookup.
The new lookup value will automatically be available to use in the drop-down menu for profiles.
Add the profile to a contact
Once the profile has been created you can then use it to add it to a contact record:
Search for the relevant contact record on the Contact form.
Click the Profile data tab.
Click + located to the right of the Profile sublist.
Mandatory fields in this form are Category, Name and Priority.
Select the Magnify Glass button on the Category field.
Search and select the relevant option for the Category.
Select the Magnify Glass button on the Name field.
Search and select the relevant option for the Name.
If relevant, select a Value.
Enter the priority, which will determine how the profile is displayed in the profile sublist:
Urgent: Red
High: Bold
Normal: Normal
Low: Grey
Enter any relevant dates and notes and click Save, or select Save and New if multiple profiles are being created for the same contact record.
