Communication blocks

This article explains how to set up communication blocks which restrict communication with a contact.

The Do Not Contact tick boxes on the Contact Preferences tab will allow the user to control how the organisation sends out communication.

They are a way of setting up communication blocks which will override all other settings, restricting the ability to communicate with a contact.

This is particularly important in relation to protecting data and making sure that the information isn't passed on to third party companies by mistake.

You can indicate whether a contact has signed up to services where they do not wish for their details to be passed on. However, in some circumstances, this can be overridden if a contact has requested information from the organisation.

Set up specific communication blocks

  1. Find the relevant contact record and open the Contact Preferences tab.

  2. Click the Edit ribbon button.

  3. From within the Communication Blocks collapsible group area, see a number of tick boxes on the right-hand side.

  4. Select the communication type that the contact does not wish to receive.

  5. If the communication block relates to a specific mailing, such as a particular newsletter, select this from the list in the Source field.

  6. Click Save.


Mark a contact as do not contact

  1. From the relevant contact records, click More.

  2. Click Do not contact.

  3. Select the Do not contact checkbox.

  4. Enter the do not contact reason and source.

  5. Fill in any extra optional fields needed.

  6. Click Save.



Override communication preferences

You can also override some mailing preferences, such as:

  • TPS Override (Telephone Preference Service)

  • Email Override

  • FPS Override (Fax Preference Service)

These are services that people can sign up to in order to stop marketing companies from contacting them. However, a contact may wish to receive information from the organisation, in which case, selecting the tick boxes provided will enable the mailing block to be overridden.



Set up marketing preferences

The Marketing collapsible group (located at the bottom of the Contact Preferences tab) allows you to indicate whether the contact is happy for their information to be passed on to third-party organisations and whether or not they are happy to receive direct marketing mailing.
