Letter rules let you automatically add personalised or conditional content to your mailings, making it easier to tailor letters for different recipients.
Set up letter rules
Click CRM, then click Mailing Admin.
Click Letter Rules and select New.
Select the Details tab and click the Mailing Source drop-down.
Select an option from the drop-down.
Type a name in the Rule Title field.
Type a description in the Description field.
In the Priority field, enter a number to indicate the importance of the mailing rule.
For example, 1 means high priority.
Enter a name for the content you wish to add in the Merge Field Name text box.
For example, GIFTAIDPARAGRAPH.
Enter the content in the Merge Field Value text box.
Click Select Merge Field to insert merge fields.
Select the Insert Return Before or Insert Space Before checkboxes if needed.
Click the Saved Search drop-down if you wish the mailing rule to be applied to contacts who meet a certain criteria.
If you only want the letter rule to be used over a certain period, select the dates in the Date From and Date To fields.
Click Save.
Apply letter rules to a mailing template
Before following the instructions below it is important to make sure you have installed the correct Office Add-ins.
Open up your mailing template in Microsoft Word.
Click the Access Charity CRM tab and select Insert Data.
Select the document type from the list displayed.
Click the Next.
Click the button on the Power Letter Rules option and select the name of the letter rule you wish to insert into your template.
Click Insert.
You will now see the Merge Field name appear in your document.
When you have finished your template in Microsoft Word, click the Log option on the thankQ ribbon tab to log the template back into the system.
