Most memberships are configured with an end date in place. Once this date grows near, you may wish to renew the membership to repeat again.

There are two ways to renew a membership in Access Charity CRM: Automatically, and Manually.

Automatic Renewal will renew the membership using the current fees/rates on the membership. If optional fees have been selected, the system will either renew at the optional value or the default, whichever is higher.

Memberships are determined to auto renew via the settings against the membership scheme they are attached to. If the scheme has the "Auto Renew" checkbox ticked a sublist will appear against the scheme called "Auto Renew Payment Types". This allows you to further filter the process down to specific payment methods, but by default all payment types currently active in the system will be listed as valid auto renewal types. A membership will auto renew even if it is not fully paid.

The auto renewal process is handled by a nightly task that checks the status of all memberships and updates them accordingly. Some time before the membership is due to expire (handled by the library definition MembershipAutoRenewDays, default 30 days) the auto renewal process will begin. If after 90 days the membership has expired and has not been renewed, Charity CRM will stop trying to trigger the auto renewal.

Manual Renewal will allow you to select a new band and rate for the membership. This will pull through the default values against the band and rate selected. This will not pull through any adjustments made to the current period's fees. If the membership is using suggested fees and opting to use higher than the default, it will attempt to renew onto this higher value.

Memberships can be manually renewed in bulk by selecting multiple memberships at once then clicking Manage, then Renew. The system will warn you that this may take some time depending on data size. Click Yes to proceed.

Bulk renewal will try to follow the same rules as Automatic, keeping the original Memberships configuration in tact.
