Create and manage groups

Organise contacts into groups for targeted mailings, updates, and reports using manual selection or automated saved searches.

Groups can be used to link together a selection of contacts that share a common attribute. This group can then be used as an anchor point in order to manipulate the records, such as writing a mailing, globally updating the records, or creating a report.

Create a new group

  1. Click CRM, then click Groups.

  2. Click New.

  3. Complete the mandatory fields:

    • Group ID: A unique identifier for the group. The system will create this, but you can edit it before saving.

    • Group title: A short description of the group’s purpose.

    • Priority: The importance level of the group.

  4. Click Save.

📌 Note: New groups can also be created from within the contacts module by clicking on Group then Add to new group. This will also add the selected contact to the group that is created.


Add contacts to a group

You can add contacts manually or by attaching a saved search.

Manually add contacts

From the group:

  1. Open your group and click the Details tab.

  2. Click the + icon on the Contacts sublist.

  3. Select the contacts you want to add.

From the Contacts module:

  1. Select as many contacts as you want from the contacts list.

  2. Click Group, then Add to group.

  3. Choose your group to add the contacts.

Automatically manage contacts with a saved search

  1. Create a saved search in the Contacts module that matches your group’s criteria.

  2. Save the search.

  3. Return to your group and select the Searches tab.

  4. Click Edit, then use the picklist next to the Saved Search field.

  5. Select your saved search and save.

The group will now include only those contacts matching the saved search criteria. This process runs nightly to add or remove contacts as needed.


Using always included or excluded lists

In the Searches tab, you’ll see:

  • Contacts Always Included: Contacts on this list remain in the group even if they don’t match the saved search.

  • Contacts Always Excluded: Contacts on this list are kept out of the group, even if they match the saved search.
