Donor stages

This aticle explains what the donor stages are in Access Analytics for Access Charity CRM.

To track the stage a donor is at and help you to better understand your supporters, we've added donor stages to both Access Charity CRM and the Fundraising Hub.

What are donor stages?

To help you categorise your supporters and the stage they're at in the donor lifecycle, you can view their donor stage.

Your supporters move through the following stages:

Donor stage

Description

Acquisition

The supporter is new to your database. For example, they've signed up for the newsletter but haven't given a donation.

Activation

The supporter's first two donations.

Repeat

The supporter has given more than two donations.

Major

The supporter has donated more than a specified value. The default is £1000.

Lapsed

The supporter hasn't donated within a certain amount of time. The default is two years.

At risk

This is a sub-category to record that the supporter hasn't donated for more than a certain amount of time. The default is one year.

Non-Donor

The supporter is unlikely to donate.

🤓 Tip: A lot of supporters drop off at the Activation stage, so it's important to nurture these relationships.


How is this represented?

New fields are available to store this information. They automatically calculate daily and display in both Access Charity CRM and the Fundraising Hub.

Access Charity CRM

To view the donor category in Access Charity CRM, open the contact form then click the Fundraising tab.

Fundraising Hub

To view the donor stage in the Fundraising Hub, view the Payment Summary. You must have payment permissions to view this.

📌 Note: In line with the other data in the Fundraising Hub, fields aren't included if they don't have a value.


New fields

We've added the following new fields:

  • Donor Category.

  • Donor Subcategory.

  • Active Member.

  • Active Pledge.

  • Has Pledged Legacy.

The following subcategories are now available:

Stage

Subcategories

Acquisition

  • 3 Months: The donor signed up in the last three months.

  • 6 Months: The donor signed up in the last six months.

  • Older: The donor signed up more than six months ago, but less than two years ago.

Activation

  • First donation.

  • Second donation.

  • At risk.

Repeat Donor

  • Year 1: This is their first year of donating.

  • Year 2: This is their second year of donating.

  • Older: They've been a donor for longer than two years.

  • At risk.

Major

  • At risk.

Non-Donor

  • Never Donated: They've never made a donation but have been in the database for longer than the Lapse term.

  • Deceased: They've donated previously but have died.

Lapsed

No subcategories.


What data is this based on?

The calculation is based on the income types that you specify, using the data from the amounts and dates fields. By default, it only includes donation income, however, you can also include other types of income.

To do this:

  1. Click Finance then click Admin.

  2. Click Configure Donor Stats then select the income you want to include.

To further configure this for your organisation, you can adjust the following Library Definitions:

  • LapsedDonorThreshold: The number of months since their last donation for a donor to be considered Lapsed.

  • MajorDonorThreshold: The value of total donations for a contact to be considered Major.

  • AtRiskDonorThreshold: The number of months since their last donation for a donor to be considered At Risk.


Exclude users from the donor journey

There may be times when you want to exclude users from the donor journey. To do this for individual users, select the relevant user then select the Exclude from Donor Journey check box.

You can also exclude multiple users at once using the Global Update option:

  1. Select the relevant users then click More.

  2. Click Global Update.

  3. From the Field to Update drop-down menu, select Exclude from Donor Journey.

  4. Select Overwrite then click OK.

📌 Note: You can also update this via import or through an API.
