The Unique Ref 1 and Unique Ref 2 columns that appear in the Payment File Data sublist will be linked with the Statement Text 1 and Statement Text 2 fields that appear on both the Accounts tab on the Pledges form and the Payer tab of the Membership form.
Once these all match the payment should match correctly and it will go in order of the instalment.
If it is incorrect you can click the three dots button against the relevant item in the Payment File Data and you will have options to manually match it by clicking on either:
Match Payment to any Pledge
Match Payment to any Membership
If the account details or the unique references are wrong you can choose the following options to update them:
Update Associated Account Details
Update Associated Unique Refs
If none of the records in the Payfile are matching despite having the correct references, this is likely due to a null row in the payfile. These null rows do not show in the Excel view of the CSV from your bank.
To fix this:
Right-click the CSV file.
This must be done with the .CSV file and not any other extension.
Select Open With, then Notepad from the list of programs.
If you can't see Notepad in the list please reach out to your IT team/provider for assistance.
Scroll down to the bottom of the file where you will find a line that looks like this:
" ",,,,,,
Delete this line from the file, taking care to ensure that only this line is removed.
Save the file.
Use the updated file to create a new payfile in Charity CRM and process it as normal.
